Privacy Policy — Flowchat

This Privacy Policy explains how HARA Consulting kft ("we", "us", "our"), the operator of Flowchat (also referred to as "Priority Bot"), collects, uses, and protects information when you install and use Flowchat in your Slack workspace.

1. Who we are

Flowchat is operated by HARA Consulting kft, a company registered in Hungary.

2. What Flowchat does

Flowchat is a Slack app that automatically categorizes incoming messages by urgency, suggests AI-generated replies, and sends reminders for messages that haven't been handled. It runs inside your Slack workspace and only processes messages in the channels and conversations it has been added to.

3. What information we collect

To provide this service, Flowchat processes the following data from your Slack workspace:

  • Workspace information: your Slack workspace ID and name.
  • Message content: the text of messages sent in channels or conversations the bot has been added to, so it can be categorized and a reply can be suggested.
  • User and channel identifiers: Slack user IDs, channel IDs, and channel names, so messages can be linked to the right conversation and displayed correctly in the app.
  • Categorization results: the urgency category assigned to each message, AI-suggested replies, and the reply status (e.g. sent, dismissed, handled).
  • Usage data: how many messages have been categorized in a billing period, to enforce plan limits (Free / Pro / Team).
  • Billing information: if you subscribe to a paid plan, payment processing is handled entirely by our payment provider, Paddle — we do not receive or store your card details ourselves (see Section 5).

We do not collect data from channels or conversations the bot has not been added to, and we do not read your Slack workspace's message history beyond what Slack's API provides for the conversations Flowchat is part of.

4. How we use this information

We use the data described above only to:

  • Categorize incoming messages by urgency.
  • Generate suggested replies.
  • Send reminders and escalation alerts for unhandled urgent messages.
  • Display the message overview in the Flowchat Home tab.
  • Enforce the usage limits of your subscription plan.
  • Provide customer support if you contact us.

We do not sell your data, and we do not use your Slack message content to train AI models.

5. Third parties we share data with

Flowchat relies on the following service providers ("subprocessors") to operate:

  • Slack Technologies, LLC — the platform Flowchat runs on. Slack's own privacy policy applies to your use of Slack itself.
  • Anthropic — message text is sent to Anthropic's Claude API solely to classify urgency and generate a suggested reply. Anthropic processes this data under its own API terms and does not use it to train its models.
  • Supabase — our database and backend infrastructure provider, hosted in the EU (Frankfurt region). All message and workspace data is stored here.
  • Paddle.com Market Ltd — our payment provider and merchant of record for paid subscriptions. Paddle handles all payment processing, invoicing, and tax compliance; we never see or store your full card details.

Each of these providers only receives the minimum data necessary to perform their function.

6. Data retention

Message data is retained for 7 days, after which it is automatically deleted from our database. Aggregated, non-identifying usage counts (for billing/quota purposes) may be retained longer for accounting purposes.

7. Data security

Data is transmitted over encrypted connections (HTTPS/TLS) and stored in a managed, access-controlled database. Access to production data is limited to what is operationally necessary to run the service.

8. Your rights (GDPR)

If you are located in the European Economic Area, you have the right to access, correct, or request deletion of your personal data, and the right to object to or restrict certain processing. To exercise these rights, or if you'd like your workspace's data deleted entirely (e.g. after uninstalling Flowchat), contact us at haraconsulting04@gmail.com.

Uninstalling Flowchat from your Slack workspace revokes its access to your data going forward; existing stored data is deleted per the retention period in Section 6, or sooner upon request.

9. Children's privacy

Flowchat is a business tool intended for use by companies and their employees. It is not directed at, and we do not knowingly collect data from, individuals under the age of 16.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of Flowchat after changes take effect constitutes acceptance of the updated policy.
